1. Who we are

Door 2 Door Airport Taxis Colchester (“we”, “us”) is an airport taxi service based in Colchester, Essex, run by Sean Gilmer. We are the data controller for personal information collected through this website, by phone, text and email.

2. Information we collect

When you request a quote, make a booking or send an enquiry, we may collect:

• your name, phone number and email address;
• pickup and drop-off addresses and postcodes;
• travel dates, times and flight or sailing details;
• the number of passengers, luggage details and details of any children travelling;
• any additional information you choose to give us, such as accessibility needs.

Information about accessibility or mobility needs is only used to plan your journey safely and is never shared beyond what's needed to provide the service.

3. How we use your information

We use your information to:

• respond to your enquiry and send you a quote;
• plan, confirm and carry out your journey, including tracking your flight;
• contact you about your booking, for example with reminders or changes;
• send receipts and keep the financial records we are legally required to keep;
• deal with any complaints, lost property or feedback.

We do not use your information for marketing unless you have asked us to keep in touch.

4. Our lawful basis

Under UK data protection law we process your information because it is necessary to take steps at your request before entering into a contract and to perform that contract (your booking), to comply with legal obligations such as keeping tax records, and for our legitimate interests in running a safe and reliable service.

5. Sharing your information

We never sell your information. We only share it where necessary with:

• service providers who help us run the business: Resend, which delivers the emails sent from our website forms, Vercel, which hosts this website, and our email provider;
• our accountant, for financial record-keeping;
• the licensing authority, police or insurers where we are legally required to.

6. How long we keep it

Booking details are kept for as long as needed to provide the service and deal with any follow-up queries. Financial records are kept for six years to meet HMRC requirements. Enquiries that don't lead to a booking are deleted within twelve months.

7. Your rights

You have the right to:

• ask for a copy of the information we hold about you;
• ask us to correct anything that is inaccurate;
• ask us to delete your information where we no longer need it;
• object to or ask us to restrict how we use it.

This website does not use advertising or tracking cookies. Information you enter into our forms is sent securely and used only as described above. Our terms and conditions explain how bookings work.
